As a provider of professional peer learning communities, thought leadership interview programmes, and exclusive executive roundtables across multiple sectors, we may act as either a data controller or data processor when acting on behalf of event sponsors. We are registered as a data controller with the Information Commissioners Office in the United Kingdom.

Information we collect

We may collect personal information when:

  • You participate in community topic polls or surveys
  • You are invited to participate in thought leadership interview programmes
  • You register for roundtable events or Challenge Forums
  • You submit challenges for discussion at roundtables
  • You attend TechPros.io events (virtual or in-person)
  • You participate in post-event thought leadership activities (podcasts, articles, webinars)
  • You join any TechPros.io professional community
  • You visit our website
  • Your company becomes an event sponsor

Poll and registration information

When you participate in our topic polls and register for events, we collect:

  • Name and professional title
  • Organisation and sector/industry
  • Email address and contact details
  • Job function and seniority level
  • Topic interest ratings (typically 1-5 scale)
  • Challenge submissions (descriptions of current operational issues)
  • Event attendance preferences
  • Community preferences (which professional communities interest you)
  • Professional network referrals (when you nominate peers to join communities)

Interview programme information

When you participate in our thought leadership interview programmes, we collect:

  • Professional background and current role details
  • Professional headshot photograph
  • Interview recordings (video and audio via Zoom)
  • Interview transcripts
  • Responses to 8-10 interview questions about industry challenges and trends
  • Quick poll question responses for infographic data
  • Follow-up question responses during sponsor expert calls
  • Review and approval feedback on draft content
  • LinkedIn profile information (for attribution in published content)
  • Professional biography details

Event participation information

During Challenge Forums and roundtable events, we collect:

  • Challenge submissions and vote selections
  • Discussion contributions and peer solutions shared
  • Post-event feedback ratings and comments
  • Consent for thought leadership participation (optional)

Important: All roundtable discussions operate under Chatham House rules. Participant contributions are kept confidential and are only shared in anonymised form in post-event summaries.

How we use information

We process personal information for legitimate business purposes including:

  • Community engagement: Inviting you to relevant Challenge Forums and professional communities, and sharing sector or role-specific insights
  • Interview programmes: Conducting thought leadership interviews, creating market view reports, and producing industry research publications
  • Content creation: Producing thought leadership content including articles, one-pagers, market view reports, infographics, and LinkedIn profile write-ups using your interview contributions
  • Event coordination: Organising roundtable participation, scheduling alignment calls and briefing calls, and facilitating peer discussions
  • Thought leadership publication: Publishing your insights, quotes, professional details, and headshot in TechPros.io publications, LinkedIn posts, and industry reports (only with your explicit consent)
  • Sponsor coordination: Sharing interview transcripts and professional context with sponsor experts for follow-up discussions and content review
  • Network building: Facilitating connections between senior professionals facing similar challenges across industries and functions
  • Personal brand development: Creating dedicated write-ups for your LinkedIn profile showcasing your expertise
  • Market research: Understanding sector trends and emerging challenges through aggregated poll, survey, and interview data
  • Website operation: Managing our website security and improving user experience
  • Compliance: Meeting legal and regulatory requirements

How we share information

Interview programme sponsors

  • Interview recordings, transcripts, and your professional details are shared with sponsor experts for content review and follow-up discussions
  • Sponsor experts may schedule 20-30 minute follow-up calls with you to explore topics in greater depth
  • Your insights are featured in sponsored thought leadership publications with your attribution
  • Personal contact details are shared with sponsors only with your explicit consent for networking purposes

Event sponsors

  • Professional context (organisation, role, sector, challenge topics) is shared with sponsors to enable effective peer discussions
  • Personal contact details are never shared with sponsors without your explicit consent
  • Sponsors may participate in roundtables as peers under the same Chatham House confidentiality rules

Published content

  • Your name, professional title, organisation, headshot, and interview insights appear in published thought leadership content including market view reports, articles, and LinkedIn posts
  • Content is shared via TechPros.io channels, sponsor channels, and the TechPros.io Enterprise Thought Leadership Guild.co group
  • You receive drafts for review and approval before publication

Anonymised insights

  • Post-event summaries contain anonymised learnings and solutions
  • Poll results showing aggregated topic interest across sectors and communities
  • Market research reports based on community trends

Cross-community sharing

  • If you express interest in multiple TechPros.io communities, we may share your information across these communities to provide relevant opportunities
  • You can specify community preferences at any time

We never sell or rent your personal information to third parties.

Your approval rights

Interview programme content

  • You receive draft content (including one-pagers, articles, and report excerpts) for review before publication
  • You have a set timeframe to provide feedback and approve content
  • Approved content is shared in the TechPros.io Enterprise Thought Leadership Guild.co group before final publication
  • You may request edits to ensure accuracy and appropriate representation

Data retention

  • Poll and survey responses: Retained for 12 months to track sector trends
  • Interview recordings and transcripts: Retained for 24 months to support ongoing content creation and thought leadership activities
  • Published thought leadership content: Retained permanently (as published material) unless you request removal
  • Challenge Forum registrations: Retained while you remain active in any TechPros.io community, plus 6 months after last engagement
  • Challenge submissions: Deleted within 3 months of the related roundtable
  • Event discussion content: Retained only in anonymised form in insights reports
  • Professional headshots: Retained for use in published content for 24 months or until you request removal
  • Website analytics: Retained for 24 months
  • Community membership: Retained while you remain an active participant

Data security and confidentiality

  • All Challenge Forum discussions operate under Chatham House rules
  • Individual contributions in roundtables are never attributed to specific participants in public materials
  • Interview recordings are stored securely and accessed only by authorised TechPros.io team members and designated sponsor experts
  • We use industry-standard encryption for data storage and transmission
  • Access to personal information is restricted to authorised personnel only
  • Event sponsors and interview programme sponsors sign confidentiality agreements before accessing your information
  • Zoom recordings are securely stored and not shared publicly

Your rights

Under GDPR, you have the right to:

  • Request access to your personal information
  • Request rectification of inaccurate information
  • Request erasure of your information (including interview recordings, transcripts, and published content)
  • Request restriction of processing
  • Request data portability
  • Object to processing
  • Withdraw consent for thought leadership participation at any time
  • Request removal of published content featuring your contributions
  • Request confirmation that discussion content has been anonymised
  • Opt out of specific communities or interview programmes while remaining active in others
  • Request copies of interview transcripts and recordings

Interview programme participation

  • You can decline to participate in interview programmes at any time before or during the briefing call
  • You must be currently employed (not on notice period) to participate in interview programmes
  • You can request changes to draft content during the review period
  • You can withdraw approval for content publication before it goes live

Community participation

  • You can opt out of future event invitations at any time
  • You can unsubscribe from specific communities or all TechPros.io communications
  • You can request removal from all communities entirely
  • Your Chatham House confidentiality remains protected even after you leave
